Cascade Server Access and Acceptable Use Policies, Procedures, Guidelines and Standards
1. Introduction
Cascade Server is a web content management system that allows users to upload and manage multiple file types across multiple sites.
Each website in the CNU domain that is developed and maintained in Cascade Server comprises several components:
- User accounts: User accounts are granted to individuals who have been designated by their supervisor as the content manager for their respective website(s).
- Folders: A folder contains all the content and resources that constitute the website. Folders are named for the content-owning department, e.g., the Office of Admissions’ folder name in Cascade Server is “admissions.”
- Groups: Groups are assigned to each website folder, e.g., the admissions folder has an admissions group. Only designated content managers for the Office of Admissions are members of the admissions group.
- Group members have full access and read/write privileges to the group’s website.
2. Access
Access to Cascade Server is granted to individuals who have been designated by their supervisor as the content manager for their respective website(s) in the CNU domain, and who have completed Cascade Server training.
2.1 Faculty/Staff Access
- The designated content manager’s supervisor must place a work order for Cascade Server access through the IT Services Helpdesk.
- The designated content manager must complete Cascade Server training through the Office of Communications and Public Relations (OCPR) before being granted access to the application (see exceptions below). Login credentials will be distributed at training.
- OCPR will grant access to Cascade Server through the creation of a user account that is associated with the content manager’s CNU ID number.

2.2 Student Access
- Only students who are employed by CNU and who have been designated the content manager by their supervisor, or who hold a governing position in the Student Assembly, will be granted access to Cascade Server. There are no exceptions to this policy.
- Students who have been designated a content manager must complete Cascade Server training through the Office of Communications and Public Relations (OCPR) before being granted access to the application (see exceptions below). Login credentials will be distributed at training.
2.3 Changes to Access Request Procedures
- The designated content manager’s supervisor must place a work order through the IT Services Helpdesk requesting any change in access that is needed. For example, a request may be for access to a new website folder that is owned by the requesting department.
- The supervisor of one department may not request access to another department’s folder. For example, the Office of Admissions cannot request access to the folder “universityevents.”
- If a content manager moves from one department to another, the supervisor of the department he or she leaves must request that the content manager be removed from the department group. The content manager will therefore lose access to the corresponding website folder. Only the supervisor from the department that the content manager is transferring to can request access and membership in the new department group and website folder.
2.4. Exceptions to Formal Cascade Server Training
A designated content manager who cannot attend formal Cascade Server training may opt to be trained by a colleague. This colleague must have attended formal Cascade Server training and have an active Cascade Server account. The following also apply in this scenario:
- The designated content manager’s supervisor must e-mail Maggie Vaughan (maggie.vaughan@cnu.edu) with the name of the content manager, department name and colleague who will train the content manager.
- Once training is complete, the content manager must e-mail Maggie Vaughan to receive his or her Cascade Server login credentials.

3. Forgotten Password
- If a content manager forgets his or her Cascade Server password, he or she must submit a work order through the IT Services Helpdesk requesting that the password be reset.
- OCPR will assign a temporary password to the content manager.
- It is the content manager’s responsibility to log into Cascade Server immediately and change the temporary password.
4. Acceptable Use
Access to Cascade Server entails certain user responsibilities and obligations. Content managers (content input users, students, and faculty and staff identified as department content managers), as defined in the Data Stewardship and Ownership documentation for Cascade Server and by the university website, are individuals who use Cascade Server to enter and manage website content. Content managers are responsible for guaranteeing accurate entry of website content. Content managers are also responsible for protecting their login privileges and for proper use of the university website.
Content managers shall conform to legal and ethical standards and act in accordance with the academic honesty policy, including respect for intellectual property and the ownership of all website content.
All content managers are responsible for the accuracy and validation of data they publish. Any information that is available as embedded content, including YouTube videos, Google Calendars, PDFs or any other content not generated by the Cascade Server is assumed to be correct.
Content managers may question the accuracy of any content element, including embedded content as described above. If a problem exists with a content element, the content manager is responsible for helping to correct the problem by supplying as much detailed information as possible about the nature of the problem.
Upon written or electronic identification and notification of erroneous data, corrective measures must be taken as soon as possible to:
- Correct the erroneous content, or, in the case of embedded content, contact the owner of the embedded content or embedded content system with the correction(s) needed. Content mangers should place work orders through the IT Services Helpdesk as needed.
- Notify users who have received or accessed erroneous content that a correction has been made.
5. Exclusions
Cascade Server is the official data storage location or system-of-record for the university website, to include all content published via the Cascade Server. Available content associated within the cnu.edu domain, but not published via Cascade Server, is not covered by this policy. This includes sites hosted by Google Sites or any other off-site-hosted website associated with CNU, either by its use of the domain cnu.edu or by the use of hyperlinks.
